Key responsibilities
Managing event logistics and operations

Oversee and manage the planning and execution of group events, ensuring all details are handled efficiently to guarantee successful outcomes.

Coordinate all event-related logistics, including room bookings, catering, and technical support, ensuring smooth execution.

Maintain constant communication with clients and internal teams, ensuring alignment on event goals and expectations.

Ensure all client specifications are met by liaising with relevant departments and organizing additional services as required.

Track and analyze the financial aspects of group events, ensuring accurate billing and compliance with the set budget.

Collaborate with the Sales and Marketing team to ensure client feedback is gathered, processed, and utilized to improve future event strategies.
Building successful client relationships

Develop and nurture strong relationships with local organizations to enhance brand awareness.

Maintain proactive communication with clients, understanding their needs and delivering tailored solutions.

Build long-lasting connections by continuously delivering exceptional service that exceeds expectations.

Represent the hotel in tradeshows, client events, and regional exhibitions to attract new business and reinforce existing partnerships.
Leadership and team management

Lead and mentor a team of event management professionals, ensuring they are aligned with company goals and performance expectations.

Monitor team progress, evaluate performance, and provide constructive feedback to ensure continued development and success.

Collaborate with Human Resources to attract and retain the right talent for the department, ensuring a high-performing team.

Support the Director of Event Planning in various administrative tasks and help coordinate internal team activities.
Event-specific responsibilities

Ensure all event details, including rooming lists, function sheets, and purchase orders, are accurately completed and managed.

Update event-related documentation and ensure that internal communication systems are kept up-to-date with all relevant information.

Monitor event logistics and manage the invoicing process, ensuring the accuracy of charges and timely payment.

Attend and oversee the post-event review to collect feedback and identify opportunities for improvement.
Candidate profile
Education and experience
-
2-year degree in Business Administration, Marketing, Hotel & Restaurant Management, or a related field with at least 4 years of experience in sales and marketing or a similar role.

A 4-year degree in the same fields with 2 years of experience in sales and marketing or a related area.
Preferred qualifications

Lodging sales experience or hotel industry work experience, demonstrating progressive career growth and a pattern of exceptional performance.
